Upload Your Own Material (PDF), Enroll It To Your Users, and Track Completions

Store, distribute, and track completions of your security materials in the same place as your training.

We know how important it is for your users to read and understand the, e.g., IT security guidelines for your organisation. You can distribute and track completions of your own materials on our platform. In this article, we'll show you how it works. 

Upload your own materials to our platform

You can upload documents or policies to the platform, so they are stored in the same place your users go for training. 

Then, you can also enroll your users and access reports that document completion.

What kind of file formats are accepted?

Currently, you can only upload PDF files on your own. 

If you have something in another format, we can help you get the material on our platform - you just have to let us know. Read about that here. 

 

How to upload materials to the CyberPilot App

  1. In the Admin view, click on "Custom Materials", under the "Materials" section of the navigation menu.
  2. Click "Create new"

  3. Fill out the required fields:
  4. Give your material a name and upload the file

  5. Optional: add a description and upload a cover image

  6. Optional: fill in the "Material Dates & Type" section with a "created on" or "last updated on" date
  7. Click "Create" to save and upload the material

 

You can upload different language variations of the same material

If you have the same material translated into different languages, you can upload all the language versions under the same core material. 

Just click on the language keys to enable the material in that language and fill in the details again. Make sure to upload the correct language files.

When you enroll materials that are available in different languages, your users will be enrolled to the version of the material that matches the preferred language on their account.

The enrollment works in the same way as course enrollments for awareness training. 

You can add your own materials to a training or onboarding plan. It's a good idea to make your IT security policy part of your onboarding plan for new users.

To make material part of an onboarding or training plan, access the "Training Planner" page under "Awareness". From here, you can create a training or onboarding plan that has your own material in it.

One-off material enrollments

You can also enroll materials without making them part of an ongoing training plan. To do that, click on the material you would like to enroll and then click on "Users"

Next, click on the "Enroll" button, and then select who the material should enroll to and when.

Your users need to confirm that they have read and understood the material assigned to them

At the last page of the document, there is a "Complete" button, along with a statement saying, “I have read and understood,” which serves as the user's confirmation that they have reviewed the document.

The user must click on the button for their completion to be registered. This is how you know that they have read and understood the documents assigned to them. 

 

How to track material completions

You can track material completions in the same reports you use for awareness or phishing training.

Here, you can see an overview of each user's activity, including the number of materials they are enrolled to and the number of incomplete materials.

You can add a filter so you are only looking at users who have incomplete material. 

Awareness Report

Here, you can see exactly which courses and materials each user has been assigned to, when they were assigned, a due date, and the status of each.
