Set Due Dates For Assigned Training

You can automatically assign your courses and materials due dates. This helps you set expectations for the training and easily see what's overdue.

Why should you set due dates for the training?

It's completely optional to set a due date for your trainings. But we recommend that you do it. Here's why: 

  • We always suggest you clearly set expectations with your users about how long they have to complete the trainings assigned to them. Enabling due dates is a simple, automatic way to do that. 
  • It allows you to get a quick overview of who has overdue training.

Enabling due dates simplifies your communication about the training and gives you an easy overview of who you should follow-up with to ensure they do their training.

What's a good due date?

We recommend you give your users 14 days to complete the training assigned to them. 

How to set due dates for the training

You only have to fill in one field in your account settings to apply due dates to all your trainings. Here's how to do it: 

  1. Under "Settings" click on "Account"
  2. In the "Course Settings" section, check the box to enable due dates
  3. Set the number of days you would like your users to have to complete courses before they become overdue
  4. Click "Save"

Your users will see the due dates in their training emails

When your users get an email about training to take, they will see the expected due date in the email.

Here's an example of what the enrollment email looks like - it says the due date next to the training:

 

The due date is also included in the incomplete training reminder emails. 

 

Please note: At this time, only the Danish and English emails include due dates.

If your users receive emails from the CyberPilot platform in another language, they will just see the number of days since the course was assigned in their reminder emails. 

 

The due date will be calculated for your past enrollments

After you set a due date for your training, the due date will be calculated and applied to your historical enrollments. That way, you can see all the overdue training, even from before you set a due date on the CyberPilot App.

If you change the standard time to complete training

If you change your policy for how long users have to complete their courses, the change will only apply to future courses enrollments. Any courses that have already been enrolled will maintain their original due date. 

Use due dates to see who has overdue training

After you enable due dates on your training, you can use the "Awareness" report to see which of your users have overdue training. Here's how to do that: 

  1. Go to the "Awareness" report
  2. Add a filter for "Have overdue courses and materials"
    1. Filter for "Yes" - users who have overdue training
  3. You will now see a list of your users who have overdue training. For each user, you can see, e.g., their name and email and the training that's overdue. You can use this as a list for following up on the training.

We recommend that you focus your follow-up on users who have overdue training, not users who "still have time" to complete it.

That way you are giving everyone a good chance to complete the training within a reasonable amount of time before following up.
